Demandbase’s finance team has autonomous AI running invoice-to-cash end to end. Before Monto, the billing team spent two working days a week manually logging into over 30 customer AP portals and maintaining a single shared file for all payment statuses. Today, reliable AI agents get the company paid a week sooner.
"Monto reduces a lot of manual intervention across the portals. It identifies exceptions such as missing POs. We have all of that on a single dashboard."
Srikanth Kota, Billing Manager.
About Demandbase
Demandbase runs the account-based go-to-market platform that B2B revenue teams use to find and win their best accounts. Behind it sits a seven-person billing and collections team that sends hundreds of invoices a month, and invoices to enterprise customers must pass through an Accounts Payable (AP) portal before the payment clock starts.
Srikanth Kota, the Billing Manager, has owned that work since before Monto, and he has been part of the department’s AI transformation from the start.
The Challenge
Two working days a week went into 30 portals, and nobody could see what happened next
"We don't know how many invoices got rejected and what the reason is behind those rejections. It was very hectic for us to maintain those notes in Google Sheets."
Srikanth Kota, Billing Manager.
One shared file contained the logins for every customer’s AP portal, and the entire billing team worked from it. “We have over 30 portals where we need to upload 100 to 150 different types of invoices, related to different entities,” Srikanth says. Each had its own format and sequence, and the difficult ones took the most time. “We have some difficult portals where it will eat our time,” Srikanth says. Across the team, that added up to around two full working days every week. “Around 15 to 20 hours a week, our team was spending on these uploads, and to retrieve the information,” Srikanth says.
The biggest pain point was not knowing where an invoice stood or why it had been rejected. “We used to receive notifications from our portals, and after looking at that billing queue, we used to log into that portal and maintain that information in a Google file,” Srikanth says. They did that one portal at a time, for every customer.
An unapproved invoice was money that Demandbase had already earned and still could not collect. With no way to spot the rejections, the team didn’t know how much cash was sitting across all those portals.
The Monto Solution
Everyone at Demandbase was talking about AI, Finance was the team that put it into production
“After Monto, many teams here started exploring different AI tools. But in finance, this is the first AI we have implemented.”
Srikanth Kota, Billing Manager.
“We haven’t identified any other tools doing what Monto does,” Srikanth says. He and his team ran the implementation themselves, handing over the portal logins they had been maintaining. From there, Monto’s AI agents ran the full invoice-to-cash process, pulling each invoice from the ERP, formatting it to meet the customer’s portal requirements, filing it, chasing POs, and following the invoice through to payment without human intervention. “Using Monto’s AI, we have reduced our work a lot,” Srikanth says.
The only thing left for the team to handle is the exceptions. “On a daily basis, our team checks the pending actions that need to be done, if it is related to rejections, PO missing, or PO insufficient balance,” Srikanth says. Those are the cases Monto can’t close on its own, so it stops and asks, and each answer makes it more autonomous the next time it tries. Seeing every portal on one screen showed him the scale of what his team had been carrying. “Our team didn’t know about the kind of pain they were going through, logging into each and every portal,” Srikanth says.
The two days a week came back to the team. “The collections team is running behind on the past due notices, so they can work on the risky ones more,” Srikanth says. “The billing team is looking after the billing enhancements. It reduced a lot of time for both teams.”
"Now we have a centralized AI dashboard where we can access all that information in a single click."
Srikanth Kota, Billing Manager.
The Impact
The team moved from hours of invoice filing to minutes of exception review
-
76.8% zero-touch payments. Portal invoices now go all the way through to payment without anyone on the team needing to log in. The agents run the entire process end to end, taking a heavy workload off the team’s desk.
680+ hours back to the team. The time that used to go into portal logins and status checks now goes to value-added work, with a focus on chasing risky accounts and improving how billing runs.
Paid 7 days faster. Invoices no longer sit waiting across portals, because the agents work around the clock, so Demandbase gets paid on time, every time. Cash that used to be stuck in a portal reaches the bank a week sooner.
