Before Monto, Imagine‘s AR team spent their days chasing payment from enterprise customers. 11 billers on the team, keying every invoice into their customers’ portals by hand and tracking every rejection in a shared spreadsheet. The Imagine Group is a print and marketing production company serving major retail and enterprise buyers. Chelsea Shepherd leads the AR team as Director of Credit, Collections, and Billing. Yenny Garcia manages the day-to-day billing operation. Together, they handle invoicing for thousands of customer accounts. For the customers routed through Monto, that work used to take entire days across the billing team. 

The Challenge

Every biller had their own portals. Every rejection was its own hunt. 

Getting paid by enterprise customers used to be manual work for 11 people at Imagine. “Each of our billers has their own customers, and each has the responsibility of going into the portal for that specific customer and entering the invoice manually,” Yenny said. Ariba and Coupa handled most of the volume, with another eight or nine portals behind them. “It was a very manual process. Even if it’s like one minute per invoice, it still took quite a bit to get through them,” Yenny said.

Rejections were their own separate job. There was no single view of what had failed, so every biller checked their own portals one at a time. AR kept a shared spreadsheet to hold the team accountable across it all. “It was just a lot of involvement in that, using an Excel spreadsheet and following up on that,” she said.

The portal work sat on top of the collections work AR was already handling. Yenny tried to find ways to make the process easier. “We were trying to do uploads via the portals, some CSV that you can upload into Ariba to get those done in one go,” she said. Every customer needed the columns to be different, so no single workaround could cover them all. Yenny and the head of AR went looking for a partner who could remove all the heavy manual work from their desks.

"We were dealing with a few missed delivery invoices to the portals and also a lot of rejections. It was a manual process."

The Monto Solution

AI that learns Imagine’s portals on its own. The AR team focuses on what it was hired for. 

Yenny and her manager landed on Monto fast. “As far as I know, Monto is the only company that we came across,” Yenny said. It was the only fit for the solution they needed. “We needed something that’s going to be helpful across all the portals that we currently use,” Yenny said. AR ran the decision on its own, without an IT project to spin up or a cross-functional evaluation to wait on. “Implementing Monto was not long at all. We gathered all the portal information, usernames, passwords, and that was pretty much it,” she said.

From then on, Monto’s enterprise-grade AI agents serve as autonomous co-workers for Imagine’s AR team, running the whole process end-to-end. The agents read invoices from Imagine’s ERP and submit them in the format required by each customer’s portal. They track approvals and confirm payments, and every status appears in real time on Monto’s AI-powered dashboard. Imagine’s billers work from there, reviewing only the exceptions the agents flag.

Yenny’s biggest surprise was consolidation. “We had the ability to have all our rejections in one place. That was something that I really liked. It helped prevent us from going into multiple portals to try to figure out if rejections were there,” she said.

Monto’s AI keeps learning, and every customer-specific rule Imagine’s billers used to memorize now lives in Monto’s knowledge base. With those rules off the team’s plate, AR spends its time on the work Imagine hired them for. “They’re working on other accounts, researching through other issues that might arise, creating SOPs, adding on accounts as we grow,” Yenny said. Every invoice and every rejection across those portals now sits in one dashboard, and the team works from there. “All that information we need is right there, just to be able to supervise and monitor from afar,” she said.

The Impact

The team moved from hours of invoice filing to minutes of exception review
